# OpenCall

> From the announcement to the winners, and further, to the final settlement. Form, submission, jury scoring, shortlist, podium, appeals, contracts, expenses, reporting. Your own instance, with your organisation’s name and colours.

OpenCall is a platform for running open calls end to end: grants, competitions,
prizes, fellowships, residencies, calls for projects and calls for papers.
Each customer gets a separate instance — its own domain, database and storage —
carrying the customer's own name and colours.

## Who it is for

Organisations that distribute resources on merit and today run the process in
spreadsheets, email and shared drives: professional bodies and associations,
grant-making foundations, cultural institutions and festivals, local
authorities and public funds, universities and research centres, and companies
with community grant programmes.

## What it covers

- 01 You build the form: fields, tables, repeatable groups, documents; categories with their own budget, criteria and documents; clone the session for next year’s edition
- 02 You ask for clarifications, not emails: clarifications with a deadline, tracked on the entry; your own verification steps, ticked before the jury; sending it back for completion
- 03 The committee works separately: members invited by email, no account needed beforehand; weighted criteria, scores from 0 to 10; each juror sees only their own entries; a chair who signs the rationale; a report per entry, with a named author; a scoreboard, with budget simulation
- 04 You decide and publish: results come out when you want, not as they appear; shortlist, then a new round with the finalists; committee report downloaded as Word
- 05 An appeals committee: separate, with its own chair; a report written by an assigned member; a resolution published under your control
- 06 Contracting: contracts generated from your own Word templates; instalments and stages, proposed by them, approved by you; budget revision, after partial funding; separate checks for the contracting phase
- 07 Delivery: activities with their own reporting state; comments on an activity, between you and them; the revised budget, tracked line by line; delivery stages, ticked on time
- 08 Expenses and settlement: expenses tied to the approved budget lines; settlement invoices and proofs of payment; funding sources, for co-financing; whatever does not fit, you send back to be redone
- 09 Reporting and communication: a reporting form built from fields as well; reporting in progress → submitted → accepted; communication materials, with the kit you provide; completion documents, requested one by one

Phases 01-05 apply to any call. Phases 06-09 only start when the call awards
money; an ideas competition stops at the results.
